We are seeking a forward-thinking Administration Manager to join the OCA team in our effort to expand international opportunities for contemporary art from Norway.
The administration manager has a vital role within our organisation, responsible for ensuring the efficient operation and management of the foundation’s financial and administrative processes and systems. As OCA shifts towards increased use of digital solutions and enhances our insight and analysis efforts, the Administration Manager will be instrumental in guiding these initiatives.
The administration manager reports directly to the Director and collaborates closely with them.
Key Responsibilities:
Administration:
- Maintain organised administrative routines to ensure efficient operations.
- Ensure that OCA complies with all laws, guidelines, and regulations related to finance, administration, and grant management.
- Collect relevant statistics and data to support analytical work and insights.
- Provide administrative and financial leadership support to the Director.
Finance and Reporting:
- Act as the primary contact for the external accountant
- Prepare and monitor budgets and financial accounts
- Follow up on incoming and outgoing payments, including grants
- Produce financial reports and forecasts for the Director and Board
- Oversee sustainability reporting process
Human Resources:
- Develop and maintain internal HR routines and the employee handbook
- Manage payroll, timesheets, flexitime, leave, and sick leave administration
- Oversee and coordinate health, safety, and environment (HSE) efforts
- Assist the Director in employee relations and addressing employer and employee matters
IT and Archives:
- Contribute to the development of digital tools and systems
- Manage data and IT systems, serving as the point of contact for external IT providers
- Develop, maintain, and oversee archiving routines
Office and Facility Management:
- Oversee office facilities and maintain communication with the landlord
- Manage office organisation and daily operations
Qualifications:
- Relevant education in administration, accounting, finance, or a related field (relevant experience may compensate for any lack of formal education).
- Relevant education and/or experience in the contemporary art field.
- Experience with grant schemes and grant management is an advantage.
- A solid understanding of accounting principles and procedures.
- Proficiency in software such as Excel, Office 365, Tripletex, or similar applications.
- Ability to handle confidential information professionally.
- Excellent written and spoken skills in both Norwegian and English.

OCA - Office for Contemporary Art is a foundation promoting contemporary art from Norway internationally. OCA expands international opportunities and contributes to global exchanges and activities through various programmes - including grants & residencies, research visits & network development, as well as public programmes & publishing. OCA is mainly funded by the Ministry of Culture and Equality and the Ministry of Foreign Affairs. It is responsible for Norway’s contribution to the visual arts section of La Biennale di Venezia. OCA also serves as an advisory body on visual arts for the Ministry of Foreign Affairs and Norway’s foreign missions.
